A growing team, a shared corridor, and a brass key that has been copied “just once” for the bookkeeper, the cleaner, and last year’s intern. That is how small offices in Kitchener, Waterloo, and Cambridge end up with a security problem that looks like a stationery drawer.
Physical keys still have a place. Relying on them alone for a shared office usually does not - which is why commercial access control and well-designed master key systems matter.
The Real Cost of “Just Make Another Copy”
Every uncontrolled copy is an access grant you cannot revoke remotely. When someone leaves, you either trust that the key came back or you rekey. Rekeying one door is manageable. Rekeying a suite with multiple offices, a server closet, and a rear exit after every staff change is not a plan - it’s a tax.
Restricted keyways help (keys that cannot be duplicated at a hardware store), but they still require physical recovery or a rekey when people leave. For higher turnover, electronic credentials win on operations alone.
Access Control Options That Scale for Small Suites
Master key systems: Useful when you want hierarchy: staff open their office, managers open several, and a grand master opens all. Design matters. A poorly planned hierarchy is hard to fix later. This remains a strong choice for buildings that prefer mechanical hardware from a commercial locksmith.
Electronic access control: Fobs, cards, PINs, or mobile credentials tied to a controller. Disable a credential when employment ends. Schedule access for cleaners. See who entered the server room at 11 p.m. Systems we install, including Hartmann for commercial access, are sized for small businesses as well as larger sites.
Hybrid approach: Common and practical: electronic control on the main entry and sensitive rooms; mechanical keys on low-risk interior doors; panic hardware left compliant on exits.
Shared and Multi-Tenant Reality
If you lease a portion of a floor, clarify what the landlord controls. You may not be allowed to replace the corridor lock, but you can often secure your suite door, interior offices, and storage. Coordinate so fire exits and life-safety hardware stay code-compliant - never chain or prop egress doors “for convenience.”
Also decide who administers access: an office manager with a simple software login beats a single master key left in a desk.
Start With a Short Door Audit
List every door that should lock. Note who needs access, during which hours, and what happens when someone leaves. That one-page audit is enough for a free assessment to recommend master key vs. electronics vs. both.
H&B Security Centre has designed commercial lock and access systems across the Waterloo Region for decades. We quote clearly and we do not push contracts you do not need.
